100% Implementation of e-office on Vijayawada Division; First in e-files creation among all the Divisions of SCR

Vijayawada Division of South Central Railway in tune with Indian Railways’ directives adopted e-office system to make it paperless, efficient, transparent and expeditious. The implementation of phase-I of NIC e-office suite has been completed with 1300 registered users in all its 17 departments adopting paperless work culture and by creation of 5938 e-files. Vijayawada Division has achieved first place in e-files creation among all the divisions of Indian Railways for the month of October-2019 and currently leading among all divisions of SCR.

This system brings in an absolute transparency as anything once written on the file is archived. It also has a monitoring mechanism to check as to where the files are being held up. All the executives are also trained to handle the e-office platform through periodical workshops and seminars conducted.

This work culture would enable quick disposal of files and systematic, timely monitoring of pending files. This will surely be changing the work culture of Indian Railways by providing better services to public.  e-Office fosters paperless culture which will not only save operational cost but also reduce the carbon footprint. Shri P Srinivas, Divisional Railway Manager applauded the Branch Officers and Staff for being positive in implementing the e-office. He further added that with e-office advantages, Vijayawada Division is ensuring to take a step closer towards Hon’ble Prime Minister’s vision of Digital India. DRM also said that not only the office files, e-SR (e- Service Record- digitalized service record of all the employees of the division) creation has also been taken up on war footing, to ensure safe, transparent and proper archival of service records of the employees. So far 4435 e-SR’s have been created sucessfully by Personnel Branch, which is also the highest in the SCR zone till date.

e-Office implementation is a Mission Mode Project (MMP) under the National e-Governance Programme of the Government of India. The project aims to usher in paperless, more efficient, effective and transparent inter-government and intra-government transactions and processes. NIC e-Office is a cloud enabled software developed by National Informatics centre (NIC) that is being deployed/hosted from RailTel Tier III certified data centres at Secundrabad and Gurgaon. It is based on Central Secretariat Manual of e-Office Procedure (CSMeOP).  Currently 4 modules (File Management System (eFile), Knowledge Management System (KMS) Collaboration & Messaging Services (CAMS) & Personnel Information Management System (PIMS) are part of the e-office system being implemented. The implementation of phase-I of NIC e-office suite has been completed ahead of time by RailTel under an MoU with Indian Railways in March 2019 with a mandate to complete the work by March 2020.
